The Program Assistant is responsible for providing program delivery and administrative support to the Education Development Officers (EDOs), contracted faculty and students in the postsecondary programs and assisting in the overall support of programming, and overseeing and maintaining program resources. The Program Assistant is responsible for overseeing various program delivery resources and ensuring related program delivery arrangements are completed, and that equipment and resources are maintained, available and conducive to learning. The Program Assistant supports the EDO’s though a variety of tasks related to program delivery with a high degree of organization, quality and professionalism.


  • Post-secondary diploma in Office Administration, Business Administration, or Office Management;
  • Minimum two years’ experience working in post-secondary education;
  • Exceptional computer skills (Microsoft Word, Excel, Outlook and Adobe Acrobat);
  • Ability to understand and speak Anishinaabemowin or willingness to learn is an asset; and
  • Valid Ontario driver’s license and be insurable.

  • Experience with preparing reports and memorandums;
  • Exhibit professional attitudes and behavior; and
  • Understanding of Anishinabek Culture is an asset.


  • Assisting the Munsee Campus and the Education Development Officer’s with program delivery support and office administration support;
  • Coordinating the ordering, selling and returns for all course manuals and textbooks by established processes and agreements;
  • Coordinating meetings including confirming guests, transportation and facilities, and processing of payments, as required;
  • Ordering and maintaining inventory including classroom supplies and equipment and software;
  • Allocating supplies and equipment to classrooms as required, providing technical support on system use;
  • Maintaining classroom bookings schedule for each semester and ensuring all agreements and related financial documents are submitted;
  • Coordinating instructors, cultural supports as required;
  • Maintaining understanding of course delivery and providing administrative supports as needed;
  • Providing students with support with application process;
  • Coordinating schedule and testing space for mid-term and final exams;
  • Maintaining inventory records of distribution and return of library and media resources, and student loaned laptops;
  • Maintaining stakeholder information including but not limited to contact of education departments, funding details and current student information on approved database;
  • Supporting AEI student council and providing required administrative functions as it relates;
  • Coordinating instructor evaluations with students and submitting to Site Coordinate;
  • Providing reception assistance including answering incoming calls, distribution of mail correspondence and relaying messages to the appropriate staff, and providing general information about program(s);
  • Supporting student recruitment and information sessions by preparing promotional materials and attending relevant conferences or events;
  • Attending internal and external meetings, advisory councils, committees, and retreats, and conferences as directed; and
  • Preforming other duties as assigned.
